Who We Are
Opportunity Toolkit is an Australian-based career document service. We prepare professional resumes, cover letters, and career strategy documents for individuals across Australia.
Our service is intended for adults aged 18 and over. We do not knowingly collect personal information from children.
Information We Collect
We collect personal information that you provide directly to us through our intake forms, communications, and uploaded documents.
Contact and account information: Your name, email address, phone number (if provided), and location (city or suburb and state).
Career and professional information: Your work history, including employers, job titles, responsibilities, and achievements. Your education, training, and qualifications. Licences, clearances, and professional memberships. Skills, strengths, and career goals. Target roles and industries.
Supporting materials: Documents you upload, such as existing resumes, position descriptions, certificates, and portfolio items. Referee details you choose to provide.
Service information: Your service preferences, feedback on drafts, and communications with us about your project.
Payment information: We do not store your credit card or bank details. Payment processing is handled securely by our payment provider (see “Who We Share Your Information With” below).
Technical information: When you visit our website, our hosting provider automatically collects standard server log data, including your IP address, browser type, and pages visited. We use Google Analytics 4 to understand how visitors interact with our website. When our advertising campaigns are active, we also use Google Ads to measure campaign performance. See the “Cookies and Tracking” section below for detail on what is set, why, and how to opt out.
How We Use Your Information
We use your personal information to:
Deliver our services: Prepare your career documents, communicate with you about your project, deliver drafts and final documents, and process revision requests.
Process payments: Facilitate secure payment processing through our payment provider.
Manage our customer relationships: Maintain records of your projects, send project updates and delivery notifications, and follow up on enquiries. We use a customer relationship management system hosted within our website to send these communications and to organise contacts and project history.
Send career-related emails: If you complete a Career Snapshot or sign up for our newsletter, we may send you a small number of follow-up emails containing related career insights and information about our services. You can unsubscribe at any time using the link in any email.
Improve our services: Understand how our services are used and identify ways to improve them.
Meet legal obligations: Maintain records as required by Australian tax law and respond to lawful requests from authorities.
We only use your information for the purposes outlined above or as otherwise permitted by law.
Who We Share Your Information With
We share your personal information only with service providers who help us deliver our services and operate our website. We do not sell your personal information to third parties.
Payment processors (Stripe and Afterpay): Stripe processes your payments and provides fraud-prevention tooling. To support this, Stripe loads on our website and may set cookies on your browser when you visit our pages or interact with our forms, even before you make a purchase. When you make a payment, Stripe receives the information necessary to complete and secure your transaction. If you choose to pay with Afterpay, your payment is handled through Afterpay; Afterpay receives the information necessary to process your instalment plan and is subject to its own privacy policy.
Cloud storage providers (such as Google): Securely store your documents and support the preparation and delivery of your career materials.
AI technology provider (Anthropic): Assists in preparing your career documents. Your career information is processed through Anthropic’s commercial API to help draft your materials. See “How We Use AI” below for detail.
Website hosting provider (WP Engine): Hosts our website and stores data submitted through our forms.
Form submission tooling (Gravity Forms): Captures your intake form responses and uploaded documents on our website. Submissions are stored within our hosting environment.
Email and contact management (FluentCRM): Hosted within our website, FluentCRM stores your contact details, project history, and email engagement so we can send project updates, delivery notifications, and follow-up communications.
Analytics and advertising providers (Google): We use Google Analytics 4 to measure how visitors use our website. When our advertising campaigns are active, we also use Google Ads to manage and measure that advertising. These services receive technical information about your visit (such as pages viewed, referring source, and approximate location based on IP address) and may set cookies on your browser. See “Cookies and Tracking” below for detail.
All service providers are contractually required to protect your information and use it only for the purposes we specify.
Overseas Disclosure
Some of our service providers are located overseas. Our payment processor (Stripe), cloud storage providers (Google), AI technology provider (Anthropic), and analytics and advertising providers (Google) are primarily based in the United States. Our website hosting provider (WP Engine) hosts our site in the Asia/Pacific region.
Before sharing your information with overseas providers, we take reasonable steps to ensure they handle your information in accordance with Australian privacy standards. This includes reviewing their privacy practices and, where available, entering into data protection agreements.
How We Use AI
We use artificial intelligence technology to assist in preparing your career documents. Your work history, education, skills, and career goals are processed through Anthropic’s Claude API to help draft your materials.
What this means for your information:
- Anthropic does not use information processed through their commercial API to train their AI models.
- Anthropic automatically deletes inputs and outputs from their systems within 30 days, in line with their commercial API standard retention.
- All AI-generated content is reviewed and finalised by qualified human professionals before delivery.
- The AI assists with drafting; it does not make decisions about your materials without human oversight.
- We retain your documents and project files separately, in accordance with our data retention policy below.
Data Retention
We retain your information for as long as necessary to provide our services and meet our legal obligations.
- Project files (your intake form responses, drafts, and final documents) are retained for 12 months after your project is completed.
- Account information is retained until you request deletion.
- Financial records (invoices and payment records) are retained for 5 years as required by Australian tax law.
- Communications related to your project are retained with your project files.
After the relevant retention period, we securely delete or de-identify your information. You may request deletion of your information at any time (see “Your Rights” below). Note that we may need to retain certain information to comply with legal obligations.
Information Security
We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. These steps include using reputable service providers with their own established security practices, restricting access to client information to those who need it to deliver our services, securing data in transit through encrypted connections, and reviewing our practices periodically. No system can be guaranteed completely secure, but we work to keep your information protected at every stage of your project.
Cookies and Tracking
Cookies are small text files set by websites you visit. We currently do not use a cookie consent banner. Where the law requires consent for specific cookies, we will obtain it; otherwise, the cookies described below are set when you visit our site.
Functional cookies (set by our website and our payment processor): These support core site functionality and secure form submission. Stripe sets cookies (__stripe_mid and, on form pages, __stripe_sid) to enable fraud prevention and secure checkout.
Analytics cookies (Google Analytics 4): We use Google Analytics 4 to understand how visitors use our website, including pages viewed, time on site, and general location. Google Analytics sets cookies including _ga and a property-specific identifier cookie (currently _ga_8ZGD3943XX). Information collected through Google Analytics is used in aggregate and is not used to identify you personally.
Advertising cookies (Google Ads): When our advertising campaigns are active, Google Ads may set cookies to measure ad performance, attribute conversions, and support remarketing. These cookies allow us to understand which ads led to enquiries or purchases.
How to opt out: You can prevent or remove cookies through your browser’s privacy settings. You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on. You can opt out of personalised advertising from Google through your Google Ads Settings.
We may add a cookie consent banner in future. If we do, this section will be updated and you will be able to manage your preferences from the banner.
Email Communications
We send transactional emails related to your project, including order confirmations, document delivery notifications, and project updates. These emails are necessary to provide our services and you cannot opt out of them while a project is active.
If you complete a Career Snapshot, you will receive your Snapshot by email along with a small number of follow-up emails containing related career insights and information about our services. You can unsubscribe from these follow-up emails at any time using the link in any email.
If you subscribe to our newsletter, you will receive occasional career tips and insights. You can unsubscribe at any time using the link in any email.
Your Rights
You have the right to:
- Access your information: Request a copy of the personal information we hold about you.
- Correct your information: Ask us to correct any information that is inaccurate, incomplete, or out of date.
- Request deletion: Ask us to delete your personal information, subject to our legal obligations to retain certain records.
- Unsubscribe from marketing emails: You may unsubscribe from any non-transactional email at any time using the link in any email, or by contacting us.
- Withdraw consent: Where we rely on your consent to process information, you may withdraw that consent at any time.
